ORIENTATION for Inbound Students
*Rotary International & SCRYE require all students receive orientation

What to Bring
Casual comfortable clothes, bedroll, pillow, toiletries, a swimsuit,  a towel, sunscreen, and something to write with.  Optional items include:  cell phones, cameras, music they like,  address book, rotary business cards, rotary lapel pins for trading, etc

Transportation
On Friday 8/20 Lee will pick up the Tulsa area students, then go to the Springdale Holiday Inn (about 1030am) to pick up students, then to Ft Smith to pick up a student, and then on to Heber Springs. 
He will return to the same locations on Sunday the 22nd.  He will update host families along the way about arrival times at each stop.

This event is MANDATORY for all inbound students who have arrived in the US by August 20th If your student is not yet in the USA by August 20th,   Lee Griffin (Inbound Coordinator) will contact you after the student arrives regarding a make-up orientation session.

 Note:
This  fee includes transportation by bus, lodging, and lift tickets & rentals. Expenses not included are souvenirs, meals en route to and from Colorado and on slopes.

Any paperwork received after October 1st will be subject to review and possibly returned to you.

If you are allowed to go on the trip, there will be a $50.00 late fee added to your costs.

YE Halloween Weekend -- INBOUNDS  (Optional event)

Hosted by the Fayetteville Rotary Club

 Students will arrive Friday afternoon, have dinner and be home-hosted on Friday night.  Saturday's daytime activities usually include opportunities to play tennis, basketball, and soccer, etc.  Students have dinner with their Fayetteville host families. Then students go to a lock-in event where they usually have a costume contest, carve pumpkins, dance, etc. Sunday morning after breakfast, students return home.  

Host siblings are usually welcome to participate. 
Rotex students are usually invited to participate.

Cost = $25 per person -- please pay upon arrival

Price to/from the starting point (OKC) not included in the trip fee of $475 for skiing or $510 for snowboarding or $400 for chaperones. SCRYE would like to extend an invitation to anyone interested in Rotary Youth Exchange and enhancing their district program. Participants include Rotarians, spouses and of course RYE students. There will be specialized training sessions for experienced RYE officers, those new to RYE and our DG's/DGE's/DGN's. Fellowship opportunities will extend to an optional lunch on Saturday and our Saturday evening banquet.

SCRYE Winter Conference

SCRYE Winter Conference  (MANDATORY for Inbounds & Outbounds)  D6110 Rotarians also invited to conference for YE training.

SCRYE = South Central Rotary Youth Exchange --> SCRYE is the Youth Exchange Multi-district organization to which our Rotary district belongs.

SCRYE meeting in Tulsa with about 250 exchange students- mandatory- for D6110 INBOUND Students and D6110 OUTBOUND students.

Note: For Students, Dress clothes (Rotary Blazer) required for SCRYE banquet; Casual clothes are Ok for the rest of the weekend

SCRYE requires that the DISTRICT register ALL of its students at one time.

(Clubs, host families, counselors -- Please DO NOT register your student at the SCRYE website.  We at the district level MUST register the students.)

Students must arrive between 3pm and 6pm on Friday.  Students will be home-hosted by Tulsa-area families on Friday night.  Students return to the hotel on Saturday afternoon for various activities (see the student agenda at the SCRYE website for details.)  Students attend a lock-in party on Saturday night.  Students return to the hotel on Sunday morning. Please pick up your student on Sunday between 9am  and 12 noon.

Our district will be sending out an email requesting registration information:
student name,
student age,
cell phone number of the adult the student is traveling with, and
estimated arrival time on Friday. 

(Important Note: We need to have the estimated arrival time  and the adult's cell phone number. The SCRYE personnel need this information when arranging a host family for the student.)

TRANSPORTATION POSSIBILITIES:
1.    Check with your Rotary Club to see whether a Rotarian from the club will be attending the event for the Youth Exchange Training sessions. If so, perhaps that club member can bring the student to/from the event.

2.   Check with other Inbound or Outbound students in your area to try to arrange ride-sharing or car-pooling.  Since this event is MANDATORY for D6110 inbound and outbound students,  you may be able to find someone near you who is going to this event.

Learn, Share and Celebrate! We have an amazing summer SCRYE conference planned with opportunities to learn and share among other SCRYE members committed to Rotary Youth Exchange, as well as several fellowship opportunities for Rotarians, spouses, Rotex and guests alike.

Preconference activities are slated to begin on Thursday, July 22, 2010 and continue to Friday, July 23, 2010. There are also several events and activities planned throughout the weekend for your spouses, guests and rotex and RYE students.

Conference activities officially kick-off at 11:00 am with our Celebration Luncheon featuring RI President Ray Klinginsmith on Friday, July 23, 2010. This is certainly a one time opportunity you will not want to miss. The SCRYE conference continues through Sunday, July 25, 2010.

Allen Chapman Activity Center on the TU campus, Tulsa, Oklahoma -- Easiest access from Harvard.  Take 5 Place down street past the stop light and the construction and ACAC will be on the right (north) side of building.  We will be in the Chouteau Room on the upper level.  Go through dining area and to stairs.  Elevator on the southwest corner of building.

* Host/Counselor training is MANDATORY for all host families and all counselors every time they host or every time they serve as a counselor.

*Anyone missing Host/Counselor Orientation will have to be trained individually by either  his/her club YEO (if  already trained and qualified) or a member of the district team.
